First Financial Bank has an immediate opening for a Payroll Assistant at the Corporate Office located in El Dorado, Arkansas.
The primary responsibility of this position is to process all employee data pertinent to payroll, including tax payments, benefit changes, audit trails, and permanent employee records. Prepare all necessary support documents and reports.
EDUCATION AND EXPERIENCE: High school plus two years of college or business school training, or equivalent; two to four years of related experience; or equivalent combination of education and experience. Prior payroll/human resources experience preferred.
COMPLEXITIY: Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from managers, supervisors, employees, and outside business interest. Ability to calculate figures and amounts such as discounts, interest, commissions, percentages, etc. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
ESSENTIAL DUTIES AND RESPONSIBILITIES: perform all in house payroll processes, such as entering payroll data for new hires, terminations, salary changes, payroll deductions, hours worked, commissions, incentive pay, etc. Backup for special payroll runs. Complete accrual updates (time) and gathering and reporting of time off. Verify all Scissortail timesheet approvals are completed correctly. Assist with preparing journal entries using the payroll general ledger program for posting to the general ledger system. Assist with preparing and submitting governmental reports and tax deposits. This includes federal and state taxes, unemployment taxes, backup withholding taxes, and city taxes. Also includes balancing and filing of W2's at year end. Assist with balancing 401k and 401k loan payroll deductions each pay period and forwarding to the third-party administrator for the retirement plan. Assist with processing benefit paperwork for new hires, changes, and terminations for all insurance benefits as they pertain to payroll. Balance payroll deductions and pay bills each month. Assist with balancing cafeteria plan deductions each pay period and forward monies withheld via employee deduction to third-party administrator for the cafeteria plan. Balance the United Way payroll deductions each month and forward monies collected to United Way. Process additions/changes to HealthWorks and balance HealthWorks deductions for payroll each month and forward monies collected to HealthWorks. Assist with running the New Hire Report and verifying new employees' Social Security numbers with Social Security Administration each pay period. Assist with processing paperwork for 401k loans and set up and monitor loan payments in the payroll system. Assist with administering the Leave of Absence program and FMLA program in accordance with federal/state guidelines and bank policy. Assist with preparing payroll information for the annual Worker's Compensation Audit. Assist with coordinating the cafeteria plan annual enrollment each year. Assist with providing payroll related reports to supervisors/managers, internal and external auditors, including worker's compensation auditor, etc. as required. Respond to written employment verification requests. Assist employees with payroll, benefits, and other related questions or problems. Other duties as assigned by management.
OTHER SKILLS AND ABILITIES: Must be proficient in MS Office applications with extensive experience in Excel. Must possess problem solving and critical thinking skills. Must possess excellent organizational skills and be able to work under very strict time deadlines. Must have good verbal and written communication skills. Should be able to handle multiple tasks and be a self-starter.
